TRÁQUILO: PORTUGAL 2027
Worry-Free Wanderings LLC

These Terms and Conditions apply to all reservations for the Tranquilo: Portugal 2027 group trip booked through Worry-Free Wanderings LLC, an independent travel agency owned and operated by Stephanie Holmes.

Please read these Terms and Conditions carefully before booking. By submitting a reservation form, paying a deposit, or authorizing payment for this trip, you acknowledge that you have read, understood, and agreed to be bound by these Terms and Conditions, as well as any applicable terms and conditions of travel suppliers, tour operators, hotels, airlines, transportation providers, guides, insurance providers, and other independent service providers involved in the trip.

These Terms and Conditions are intended as a draft for review and may be updated before final publication.

  1. Parties to This Agreement

The terms “Worry-Free Wanderings,” “we,” “us,” and “our” refer to Worry-Free Wanderings LLC and Stephanie Holmes, independent travel advisor.

The terms “you,” “traveler,” “participant,” “client,” or “guest” refer to the person booking travel through Worry-Free Wanderings LLC and any other travelers included in the same reservation.

Worry-Free Wanderings LLC acts as an independent travel agency and advisor. We are not a host agency, tour operator, hotel, airline, transportation company, guide company, insurance company, or direct supplier of travel services.

  1. Eligibility to Book

You must be at least 21 years of age and legally able to enter into a binding contract in order to book this trip.

If you book on behalf of another traveler, you represent that you have the authority to do so, that you have provided these Terms and Conditions to all travelers in your party, and that all travelers agree to be bound by them. You are responsible for ensuring that all information submitted on behalf of each traveler is complete and accurate.

  1. Booking Requirements

To reserve a spot on Tranquilo: Portugal 2027, each traveler must submit the following:

  1. A completed reservation form.

  2. A signed or electronically acknowledged copy of these Terms and Conditions.

  3. A deposit payment of $1,036 per person.

  4. Proof of travel insurance, if required by Worry-Free Wanderings LLC, or acknowledgement of any travel insurance waiver process provided by Worry-Free Wanderings LLC.

A reservation is not confirmed until the deposit has been received and Worry-Free Wanderings LLC has confirmed acceptance of the booking.

Worry-Free Wanderings LLC reserves the right to decline or cancel a reservation at its discretion.

  1. Deposit

A deposit of $1,036 per person is required to reserve your space on Tranquilo: Portugal 2027.

The deposit applies toward the total trip price.

Unless otherwise stated in writing, the deposit is non-refundable.

  1. Payment Milestones including Final Payment

  • 30% of payment is due by February 5, 2027
  • 50% due by May 5, 2027
  • Final payment for Tranquilo: Portugal 2027 is due no later than June 5, 2027.

If final payment is not received by June 5, 2027, Worry-Free Wanderings LLC reserves the right to treat the reservation as canceled by the traveler. In that case, all applicable cancellation penalties will apply, and the traveler may lose some or all payments made.

If a traveler books on or after June 5, 2027, full payment may be required at the time of booking.

  1. Payment Plans

Worry-Free Wanderings LLC may offer payment plan options as a convenience to travelers. Payment plans do not change the final payment deadline.

All trip balances must be paid in full by June 5, 2027, regardless of the payment plan selected.

Failure to make scheduled payments may result in cancellation of the reservation and application of the cancellation policy.

  1. Pricing

Trip pricing is based on known costs, supplier rates, currency exchange rates, group size, taxes, and fees at the time pricing is published.

Worry-Free Wanderings LLC will make reasonable efforts to avoid price changes after booking. However, pricing may be adjusted due to circumstances beyond our control, including but not limited to supplier rate changes, currency fluctuations, taxes, fuel surcharges, government fees, or changes in group size.

Airfare, unless specifically stated as included, is not included in the trip price.

  1. Minimum Group Size

Tranquilo: Portugal 2027 requires a minimum number of travelers in order to operate.

Worry-Free Wanderings LLC reserves the right to cancel the trip if the minimum group size is not met by a date determined by Worry-Free Wanderings LLC.

If Worry-Free Wanderings LLC cancels the trip solely because the minimum group size is not met, we will make reasonable efforts to provide one or more of the following options:

  1. A comparable alternative trip option, if available.

  2. A revised itinerary or price based on the actual group size, if available.

  3. A refund of recoverable amounts paid, less any non-refundable supplier costs, administrative fees, or other unrecoverable expenses.

Worry-Free Wanderings LLC is not responsible for costs travelers incur outside the trip package, including but not limited to airfare, travel insurance, passport fees, pre-trip hotels, post-trip hotels, pet care, parking, clothing, gear, or other personal expenses.

  1. Cancellations by Traveler

All cancellation requests must be submitted in writing by email to:

Cancellations by phone, text message, social media message, or verbal conversation are not considered valid until written notice is received by email.

The effective date of cancellation will be the date Worry-Free Wanderings LLC receives the written cancellation request.

Cancellation penalties may apply. Because group travel involves advance contracts, deposits, supplier commitments, and reserved inventory, payments may be partially or fully non-refundable depending on the date of cancellation and the terms of the suppliers.

Cancellation schedule:

  1. Deposit: Non-refundable once paid.

  2. After final payment due date of June 5, 2027: 100% of the trip cost may be non-refundable.

  3. Any non-refundable supplier costs, tickets, fees, tours, accommodations, transfers, or other prepaid expenses may be withheld from any refund at any time after booking.

No refunds will be issued for unused meals, tours, transfers, excursions, accommodations, services, or trip components once travel has begun.

Travelers are strongly encouraged to purchase travel insurance to protect against unexpected cancellation, interruption, illness, injury, emergencies, travel delays, baggage issues, and other covered events.

  1. Changes by Traveler

Any requested changes after booking must be submitted in writing to Worry-Free Wanderings LLC.

Changes are not guaranteed and may be subject to availability, supplier approval, price differences, change fees, administrative fees, or cancellation penalties.

Name changes, roommate changes, room category changes, date changes, and other modifications may result in additional charges.

If one traveler in a room cancels or changes their reservation, the remaining traveler or travelers may be responsible for additional costs, including single supplement charges or revised occupancy pricing.

  1. Cancellations or Changes by Worry-Free Wanderings LLC or Suppliers

Worry-Free Wanderings LLC and its suppliers reserve the right to make changes to the itinerary, accommodations, activities, transportation, guides, restaurants, timing, order of events, or other trip components when necessary or advisable.

Changes may be made due to weather, safety concerns, supplier availability, site closures, transportation delays, government action, local holidays, illness, force majeure events, or other circumstances beyond our control.

Worry-Free Wanderings LLC will make reasonable efforts to provide comparable alternatives when possible. However, itinerary changes, supplier changes, or schedule adjustments are not grounds for cancellation or refund unless required by applicable law or supplier terms.

  1. Independent Suppliers

Worry-Free Wanderings LLC acts as an agent for independent suppliers that provide travel services. These may include, but are not limited to, hotels, airlines, transportation companies, tour operators, guides, restaurants, wineries, activity providers, insurance companies, and destination management companies.

These suppliers are independent contractors and are not employees, partners, representatives, or agents of Worry-Free Wanderings LLC.

Worry-Free Wanderings LLC does not own, operate, manage, or control these independent suppliers and is not responsible for their acts, omissions, delays, schedule changes, cancellations, errors, negligence, financial default, bankruptcy, or failure to provide services.

All travel services are subject to the terms and conditions of the applicable suppliers.

  1. Travel Insurance

Travel insurance is strongly recommended for all travelers.

Worry-Free Wanderings LLC may require travelers to purchase travel insurance for this trip, including medical coverage and emergency medical evacuation coverage.

Travel insurance can help protect against certain unexpected losses, including but not limited to trip cancellation, trip interruption, medical emergencies, travel delays, lost baggage, and emergency evacuation. Coverage depends on the specific policy purchased.

Worry-Free Wanderings LLC strongly recommends that travelers purchase travel insurance shortly after paying the deposit, especially if they wish to explore time-sensitive benefits such as pre-existing condition waivers or cancel for any reason coverage, when available.

If a traveler declines travel insurance or fails to purchase adequate coverage, the traveler accepts full responsibility for any losses, costs, or penalties that would have otherwise been covered by insurance.

Worry-Free Wanderings LLC is not an insurance company and does not determine coverage, approve claims, deny claims, or guarantee reimbursement under any insurance policy.

  1. Passports, Visas, and Entry Requirements

Each traveler is solely responsible for obtaining and carrying the correct travel documents required for entry into Portugal and any other countries included in or connected to their travel plans.

This may include, but is not limited to, a valid passport, visa, travel authorization, proof of onward travel, health documentation, or other entry requirements.

Travelers are responsible for ensuring that the name on their reservation, airline ticket, passport, and travel documents match exactly.

Passport and entry requirements can change at any time. Travelers should review current requirements through official government sources and confirm requirements based on their citizenship, residency, and personal circumstances.

Worry-Free Wanderings LLC is not responsible if a traveler is denied boarding, delayed, detained, deported, refused entry, or unable to travel due to incomplete, expired, inaccurate, or missing travel documents.

  1. Health, Medical Conditions, and Fitness to Travel

Travelers are responsible for determining whether they are physically, medically, and emotionally fit to participate in Tranquilo: Portugal 2027.

Travel may involve walking, stairs, uneven surfaces, cobblestones, hills, transportation transfers, schedule changes, and other physical demands.

Travelers should consult their physician or qualified medical professional regarding any health concerns, medications, vaccines, mobility limitations, dietary restrictions, mental health concerns, or other issues that may affect travel.

Worry-Free Wanderings LLC must be notified in writing before booking of any medical condition, disability, mobility limitation, dietary requirement, allergy, or other need that may affect the traveler’s participation.

Worry-Free Wanderings LLC will make reasonable efforts to communicate requests to suppliers, but cannot guarantee accommodations, accessibility, dietary safety, or medical support.

Travelers who require personal assistance must travel with a companion who is able to provide that assistance. Worry-Free Wanderings LLC, suppliers, guides, and other travelers are not responsible for providing personal care, mobility assistance, medical care, or one-on-one support.

  1. Accessibility

Accessibility standards outside the United States may differ from those required by the Americans with Disabilities Act.

Hotels, transportation, restaurants, historic sites, sidewalks, public spaces, and attractions in Portugal may not be fully accessible. Elevators, ramps, accessible bathrooms, air conditioning, and other features may not be available or may differ from U.S. standards.

Travelers are responsible for advising Worry-Free Wanderings LLC of accessibility needs before booking so that suitability can be discussed.

  1. Dietary Restrictions and Allergies

Worry-Free Wanderings LLC will make reasonable efforts to communicate dietary restrictions, allergies, and food preferences to suppliers when provided in advance.

However, Worry-Free Wanderings LLC cannot guarantee that all dietary needs can be accommodated or that meals will be free from allergens, cross-contamination, or ingredients of concern.

Travelers with food allergies, dietary restrictions, or medical dietary needs are solely responsible for managing their own food choices and communicating directly with restaurants, servers, guides, and suppliers during travel.

  1. Traveler Conduct

Travelers are expected to behave respectfully, responsibly, and safely throughout the trip.

Worry-Free Wanderings LLC reserves the right to remove or exclude a traveler from the trip or any trip activity if the traveler’s behavior is disruptive, unsafe, abusive, discriminatory, harassing, intoxicated to a degree that creates concern, illegal, or harmful to themselves, other travelers, suppliers, guides, local communities, or the overall group experience.

If a traveler is removed from the trip, no refund will be provided for unused portions of the trip. The traveler will be responsible for all costs associated with alternate arrangements, including transportation, lodging, meals, flights, or returning home.

Travelers are responsible for any damage, loss, fines, fees, or expenses caused by their actions and agree to indemnify Worry-Free Wanderings LLC for related claims, costs, and attorney fees.

  1. Inclusive and Respectful Travel Environment

Worry-Free Wanderings LLC is committed to creating a welcoming, respectful, and inclusive travel environment.

Discrimination, harassment, bullying, hate speech, threats, or disrespectful behavior based on race, ethnicity, nationality, religion, disability, body size, gender identity, gender expression, sexual orientation, age, marital status, political belief, or any other protected or personal characteristic will not be tolerated.

Travelers who violate this expectation may be removed from the trip without refund.

  1. Photography, Video, and Likeness

Worry-Free Wanderings LLC may take photographs, videos, or other recordings during the trip for marketing, social media, educational, or promotional purposes.

By participating in the trip, travelers grant Worry-Free Wanderings LLC permission to use their image, likeness, voice, and appearance in such materials without compensation, unless the traveler submits a written opt-out request before the trip begins.

Travelers who do not wish to be photographed or recorded must notify Worry-Free Wanderings LLC in writing before travel.

  1. Airfare and Transportation

Unless specifically stated in writing, airfare is not included in the trip price.

Airfare quotes are estimates only until tickets are purchased. Airline schedules, fees, baggage rules, seat assignments, delays, cancellations, and changes are controlled by the airline.

Worry-Free Wanderings LLC is not responsible for airline delays, cancellations, missed connections, baggage loss, baggage delay, schedule changes, denied boarding, seat changes, or airline service issues.

Travelers are responsible for arriving at the designated trip starting point on time. Missed flights, missed transfers, late arrivals, or early departures may result in additional costs, which are the traveler’s responsibility.

  1. Force Majeure

Worry-Free Wanderings LLC is not liable for any delay, change, cancellation, loss, injury, damage, expense, or failure to perform caused by circumstances beyond its reasonable control.

Force majeure events may include, but are not limited to, acts of God, severe weather, natural disasters, fire, flood, earthquake, volcanic activity, epidemic, pandemic, public health emergency, quarantine, government restrictions, war, terrorism, civil unrest, strikes, labor disputes, supplier default, transportation disruption, airport closure, border closure, travel warnings, travel bans, mechanical failures, or other unforeseen events.

In the event of force majeure, Worry-Free Wanderings LLC will make reasonable efforts to assist travelers and recover funds from suppliers when possible. However, refunds are not guaranteed and will depend on supplier terms and recoverable amounts.

  1. Assumption of Risk and Release of Liability

Travel involves inherent risks. These risks may include, but are not limited to, illness, injury, accidents, delays, crime, theft, lost belongings, transportation issues, weather events, natural disasters, political unrest, differing safety standards, food or water issues, animal or insect exposure, uneven terrain, and other known or unknown risks.

By booking and participating in Tranquilo: Portugal 2027, you voluntarily assume all risks associated with travel and participation in trip activities.

To the fullest extent permitted by law, you release Worry-Free Wanderings LLC, Stephanie Holmes, and their members, officers, agents, contractors, representatives, and affiliates from claims, damages, losses, liabilities, costs, and expenses arising from or related to your participation in the trip, except where prohibited by law.

  1. Limitation of Liability

To the fullest extent permitted by law, Worry-Free Wanderings LLC shall not be liable for indirect, incidental, consequential, special, punitive, or exemplary damages.

To the fullest extent permitted by law, any liability of Worry-Free Wanderings LLC shall be limited to the amount actually paid directly to Worry-Free Wanderings LLC for the specific travel services giving rise to the claim.

  1. Credit Card Payments and Chargebacks

By providing payment information, you authorize Worry-Free Wanderings LLC or its designated payment processor or suppliers to charge the agreed amounts for your trip.

You agree not to initiate an improper chargeback for authorized charges, non-refundable payments, supplier penalties, cancellation fees, or charges that are consistent with these Terms and Conditions.

Before initiating a chargeback, you agree to contact Worry-Free Wanderings LLC at steph@worryfreewanderings.com to attempt to resolve the issue.

Worry-Free Wanderings LLC reserves the right to dispute improper chargebacks and to recover any related costs, fees, penalties, or attorney fees to the extent permitted by law.

  1. Accuracy of Information

Worry-Free Wanderings LLC makes reasonable efforts to provide accurate information in proposals, itineraries, invoices, emails, forms, and marketing materials.

However, errors, omissions, or changes may occur. Travelers are responsible for reviewing all documents carefully and notifying Worry-Free Wanderings LLC immediately of any errors or concerns.

Worry-Free Wanderings LLC reserves the right to correct typographical errors, pricing errors, itinerary errors, or other mistakes.

  1. Privacy

Worry-Free Wanderings LLC may collect personal information necessary to plan and manage travel, including names, dates of birth, passport information, contact information, dietary needs, accessibility needs, emergency contacts, and payment-related information.

Personal information will only be shared as necessary to fulfill travel arrangements, comply with legal requirements, process payments, communicate with suppliers, or provide requested services.

Worry-Free Wanderings LLC will not sell traveler personal information.

  1. Complaints and Issue Resolution

If a problem occurs during travel, travelers must notify Worry-Free Wanderings LLC or the appropriate supplier as soon as reasonably possible so that efforts can be made to address the issue.

Any claim or complaint after travel must be submitted in writing to Worry-Free Wanderings LLC at steph@worryfreewanderings.com no later than 90 days after completion of the trip.

Claims not submitted within this time may be deemed waived to the extent permitted by law.

  1. Governing Law and Venue

These Terms and Conditions and any dispute arising from or related to them shall be governed by the laws of the State of Iowa, without regard to conflict of law principles.

Any legal action shall be brought in a court of competent jurisdiction in Iowa, unless otherwise required by applicable law.

  1. Waiver of Class Action

To the fullest extent permitted by law, you agree that any claim against Worry-Free Wanderings LLC shall be brought only in your individual capacity and not as a plaintiff, class member, or representative in any purported class action, collective action, or representative proceeding.

  1. Severability

If any portion of these Terms and Conditions is found to be invalid, unlawful, or unenforceable, the remaining portions shall remain in full force and effect.

  1. Entire Agreement

These Terms and Conditions, together with the reservation form, invoices, trip documents, supplier terms, and any written policies provided by Worry-Free Wanderings LLC, constitute the entire agreement between the parties regarding Tranquilo: Portugal 2027.

By submitting a reservation form, paying a deposit, or authorizing payment, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
